These Terms of Service explain how Verihaus provides local field verification, evidence documentation and related reporting services. Please read them carefully before requesting or using our services.

In these Terms, “Verihaus”, “we”, “us” or “our” means Lingohaus Ltd trading under or operating the Verihaus service. “Client”, “you” or “your” means the individual, company or organisation requesting or purchasing our services.

2. Acceptance of These Terms

By submitting a request, accepting a quotation, placing an order, making a payment or using any Verihaus service, you agree to these Terms of Service.

If you act on behalf of a company, public body, NGO or other organisation, you confirm that you have authority to bind that organisation to these Terms.

If you do not agree with these Terms, you must not request or use our services.

3. Our Services

Verihaus provides local field verification and evidence documentation services. These may include, depending on the agreed scope:

  • supplier verification;
  • factory verification;
  • company or business presence verification;
  • asset verification;
  • damage documentation;
  • site, address or location confirmation;
  • photo, video, notes and field evidence collection where permitted;
  • structured reports describing visible facts, observations, limitations and red flags.
Scope-based service: The exact deliverables depend on the location, access conditions, safety, local legal restrictions, urgency, availability of local field agents and the agreed scope.

4. Requests, Quotes and Order Confirmation

4.1 Inquiry stage

Submitting a request through our website, email or other channel is an inquiry only. It does not automatically create a contract for field work and does not require us to perform any service.

4.2 Feasibility review

After receiving your request, we may review the location, evidence needs, urgency, access conditions, safety considerations, local agent availability and reporting requirements.

4.3 Final quotation

We will confirm the final price, practical scope and expected timing before any field assignment starts. No field work begins until the Client approves the quotation or order confirmation in writing or through another accepted confirmation method.

4.4 Refusal of requests

We may decline any request at our discretion, including where the assignment appears unsafe, unlawful, misleading, intrusive, impossible, outside our service scope, or inconsistent with our policies.

5. Client Obligations

You agree to provide accurate, lawful and complete information required to assess and perform the assignment.

  • You must provide a legitimate business reason for the verification request.
  • You must not request services for unlawful surveillance, stalking, harassment, intimidation, deception or violation of privacy.
  • You must not misrepresent your identity, authority, purpose or relationship to the subject of the verification.
  • You must ensure that any documents, photos, instructions or personal data supplied to us are provided lawfully.
  • You must notify us of safety risks, access restrictions, confidentiality requirements or local sensitivities known to you.
  • You must not ask Verihaus or any field agent to trespass, enter restricted areas, impersonate another person, obtain confidential information unlawfully or breach applicable laws.

6. Reports and Deliverables

Unless otherwise agreed, Verihaus reports are practical decision-support documents based on field observations and visible evidence collected within the agreed scope.

Reports may include photos, videos where available, location notes, access observations, visible activity, comparison with supplied information, damage observations, chronology, limitations, open questions and practical red flags.

Reports are prepared for the Client’s internal business decision-making. You may not publish, resell, alter, misrepresent or use the report in a misleading way without our written permission.

No guarantee of outcome: A report may confirm some facts, identify limitations, or state that a point could not be verified. A limitation or inconclusive finding is still a valid service outcome.

7. Service Limitations and No Professional Opinion

Verihaus services are limited to practical field evidence and structured documentation. Unless expressly agreed in writing, we do not provide:

  • legal advice or legal conclusions;
  • insurance coverage decisions or loss-adjusting opinions;
  • technical inspection, engineering certification or product testing;
  • formal audit, financial due diligence or accounting verification;
  • certified asset valuation, appraisal or price assessment;
  • forensic investigation or determination of cause, fault or liability;
  • law-enforcement, private investigation or surveillance services;
  • guarantees of ownership, solvency, authenticity, compliance or future performance.

Our findings are based on the information available to us, the agreed scope and what could be legally, safely and practically observed at the time of the assignment.

8. Pricing, Payments and Taxes

Prices are provided by quotation unless standard package pricing is expressly shown and accepted. Final pricing may depend on country, city, travel distance, urgency, access conditions, number of locations, evidence depth, reporting depth and special requirements.

Payment terms will be stated in the quotation, invoice or order confirmation. We may require full or partial payment in advance before assigning a field agent.

Unless expressly stated otherwise, prices may exclude applicable taxes, bank charges, currency conversion costs, third-party expenses, travel surcharges, urgent handling fees and special access costs.

If payment is late, we may suspend work, delay delivery, withhold reports, cancel the assignment or charge reasonable recovery costs to the extent permitted by law.

9. Cancellation, Rescheduling and Refunds

9.1 Cancellation by the Client

You may request cancellation or rescheduling by contacting us as soon as possible. Whether a refund or credit is available depends on the stage of the assignment.

  • If cancellation occurs before field planning or agent assignment, we may refund amounts paid, minus reasonable administrative or payment processing costs.
  • If cancellation occurs after field planning, local agent assignment, travel arrangement or third-party costs, we may deduct reasonable costs already incurred.
  • If cancellation occurs after field work has started or the visit has taken place, fees may be non-refundable.
  • Urgent assignments may have stricter cancellation terms due to immediate resource allocation.

9.2 Cancellation by Verihaus

We may cancel or suspend an assignment if it becomes unsafe, unlawful, impractical, impossible, misleading, or if the Client fails to provide required information, payment or cooperation.

9.3 Consumer rights

Verihaus is primarily designed for business clients. If you are a consumer and applicable consumer law gives you mandatory cancellation or refund rights, nothing in these Terms is intended to remove those mandatory rights.

10. Confidentiality

We will treat non-public Client information as confidential and use it only for the purpose of assessing, quoting, performing, managing and documenting the requested services, unless disclosure is required by law or reasonably necessary to perform the assignment.

You acknowledge that certain information may need to be shared with local field agents, contractors, translators, administrative staff, payment providers, hosting providers or other service providers involved in delivering the service.

The Client must also keep Verihaus’s non-public pricing, methods, internal communications, report formats, agent information and operational details confidential.

11. Data Protection and Privacy

We process personal data in connection with inquiries, quotations, service delivery, reporting, invoicing, communication, compliance and record keeping.

You must ensure that any personal data you provide to us is collected and shared lawfully and that you have a valid basis for providing it to us for the requested service.

Where a verification assignment involves individuals, private premises, personal information or sensitive context, we may request additional clarification, limit the scope or refuse the assignment.

Our use of personal data is further described in our Privacy Policy. If a separate data processing agreement is required for a specific B2B client, this must be agreed in writing before the relevant processing begins.

12. Intellectual Property and Use of Materials

Unless otherwise agreed in writing, Verihaus retains ownership of its templates, methods, report structures, know-how, website content, branding, processes and internal materials.

After full payment, the Client receives a limited, non-exclusive, non-transferable licence to use the delivered report for internal business decision-making related to the requested assignment.

The Client must not remove branding, alter findings, misrepresent conclusions, resell reports, publish reports publicly, or use reports in a misleading or unlawful manner without our written permission.

13. Local Agents, Contractors and Third Parties

Verihaus may use local field agents, contractors, freelancers, administrative staff and third-party providers to deliver services.

We aim to brief agents according to the agreed scope. However, field conditions may vary, and results can be affected by access restrictions, weather, safety, local rules, site cooperation, visibility, timing and practical limitations.

Verihaus is not responsible for delays or failures caused by third parties, site owners, public authorities, weather, transport issues, force majeure events or factors outside our reasonable control.

14. Liability

Verihaus provides evidence documentation and practical reporting, not guaranteed outcomes. You remain responsible for your own business decisions, including whether to pay, approve, finance, lease, insure, onboard, escalate or reject a transaction.

To the maximum extent permitted by law, Verihaus is not liable for indirect, consequential, special or punitive losses, loss of profit, loss of revenue, loss of business opportunity, loss of goodwill, loss of data, or losses arising from the Client’s reliance on a report beyond its agreed scope.

To the maximum extent permitted by law, Verihaus’s total aggregate liability arising from or relating to a service shall not exceed the amount paid by the Client to Verihaus for the specific assignment giving rise to the claim.

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any liability that cannot be excluded under applicable law.

15. Client Indemnity

You agree to indemnify and hold harmless Verihaus, Lingohaus Ltd, its directors, employees, agents and contractors from claims, losses, liabilities, damages, costs and expenses arising from:

  • your unlawful, misleading or unauthorised request;
  • your breach of these Terms;
  • your misuse of a report or service result;
  • your provision of inaccurate, unlawful or unauthorised information;
  • claims by third parties arising from your instructions or use of our services.

16. Prohibited Uses

You must not use Verihaus services for:

  • illegal surveillance, stalking, harassment or intimidation;
  • obtaining private information without lawful basis;
  • deceptive impersonation or false authority;
  • breach of confidentiality, privacy or data protection laws;
  • trespass, forced entry or restricted-area access;
  • political targeting, discrimination, blackmail or coercion;
  • any activity involving weapons, trafficking, exploitation, sanctions evasion, fraud or other unlawful conduct.

We may refuse, suspend or terminate any request if we suspect misuse.

17. Force Majeure

We are not responsible for delay, non-performance or partial performance caused by events outside our reasonable control, including natural disasters, severe weather, transport disruption, strikes, war, civil unrest, pandemics, public authority actions, local access restrictions, internet outages, supplier failures or safety incidents.

18. Changes to These Terms

We may update these Terms from time to time. The version published on our website at the time of your request or order will normally apply to that request, unless a separate written agreement states otherwise.

Material changes may be highlighted on the website or communicated where appropriate.

19. Governing Law and Jurisdiction

These Terms and any dispute or claim arising out of or in connection with them, including non-contractual disputes or claims, shall be governed by and interpreted in accordance with the laws of England and Wales.

Subject to any mandatory legal rights that may apply, the courts of England and Wales shall have exclusive jurisdiction over disputes arising from or relating to these Terms or our services.
